Bulk Editing Items in Cheqroom

The bulk edit tool lets you update multiple items at once directly from your item inventory — no need to edit each item individually. You can update any system or custom field across up to 1,000 items in a single operation.

 


Who can use bulk edit?

You must have Manage Items permission to use the bulk edit tool. This includes account owners, workspace admin, and equipment administrations. Contact your workspace administrator if you don't see the option.


 How to bulk edit items

Step 1: Go to your item inventory

Navigate to Items from the main menu to open your full item inventory.

Step 2: Select the items you want to edit

  • Check the checkbox next to each item you want to include.
  • Use filters to narrow your list before selecting — filter by category, location, status, custom fields, or any other attribute to find the right items faster.
  • You can select items across multiple pages, up to 1,000 items in a single bulk edit.

Step 3: Click "Edit items"

Once you've selected at least one item, click Edit items in the top right corner to open the bulk edit panel.

Step 4: Choose the fields to update

Select which fields you want to change. You can update any:

  • System fields — category, location, status, purchase date, purchase price, and more
  • Custom fields — any custom fields configured in your workspace

Only the fields you actively change will be updated — fields you leave untouched remain as-is on each item.

Note: Some fields only apply to bulk items, serialized items, or a specific item type. For example, the attribute “consumable” is only applicable to bulk items and will not apply to individually serialized items in your selection.

Alternatively, some actions only apply to individual items. Bulk items cannot be flagged or assigned to custody.If your selection contains a mix of bulk and serialized items, the Update summary will show these as "Only available for bulk items" under fields with issues — this is expected behavior, not an error.

Step 5: Apply and review the update summary

Once you've configured your fields, click Update to apply. Cheqroom processes the changes and moves to the Update summary step, which shows:

  • A total count of fields updated and fields with issues
  • A field-by-field breakdown — each field you edited shows how many items were successfully updated and how many had issues, with a reason for each (e.g., "Only available for bulk items", "Value has not changed")
  • Expandable rows to see which specific items were affected

From the summary you can:

  • Click Done to close and return to your inventory
  • Click Retry with edits to go back and adjust your field selections — useful if some items failed and you want to correct the values before reapplying

Adding photos in bulk

Photos are not included in the Edit items action but can be added in bulk via a separate bulk photo action from the same item selection. See Adding Images in Cheqroom for more detail, including requirements for publicly accessible image URLs.


Tips

  • Use filters first. Filtering before selecting saves time and reduces the chance of editing items you didn't intend to.
  • Test on a small batch. If you're making a large change, select a handful of items first to confirm the result looks right before scaling up.
  • Changes are immediate. There is no undo for bulk edits. Double-check your selection and field values before applying.
