Custom Fields on Locations
Store site-specific details, such as a contact, delivery instructions or a rate, on the location itself.
A location has always held a name, an address, opening hours and now closed days. Many teams also need details that do not fit those fields: who to call at a site, where to deliver, which language to use. Locations now support custom fields, the same way items, kits, users, reservations and check-outs do. Locations also gain attachments, comments and history.
What you can do
- Add custom fields to Locations from Settings > Fields, using the same field types you already use elsewhere.
- Fill in the fields on each location's page, next to its address, opening hours and closed days.
- Add attachments and comments to a location, and review its history.
- Hide a field from some roles using field visibility.
Custom fields are available on top-level locations only, not on sub-locations.
Set up a custom field for locations
- Click Settings, then click Fields.
- Choose Locations as the record type.
- Select a field type, then click Add field.
- Name the field, add a short description if it helps your team, and choose whether it is required.
- Save.
A required field must be filled in when you create a new location. Locations you created earlier are not blocked if the field is empty.
Fill in a location's fields
- Click Settings, then click Locations.
- Hover over the location and click Edit.
- Your custom fields appear on the Location page. Fill them in and save.
Examples
Who to call. Add "Site contact" as a Single line of text, and "On-site phone" as a Phone field. Anyone picking up equipment knows who to ask for.
Delivery and loading instructions. Add "Delivery instructions" as Multiple lines of text: use the loading dock on the east side, ask for security, no deliveries after 15:00.
Rates by site. Add "Day rate" as a Currency field so a rental team can see what each site charges.
Language and region. Add "Preferred language" as a single-choice Dropdown list so staff know which language to use with a site.
A responsible person. Add "Site manager" as a User field to link the Cheqroom user in charge of each location.
Where to View
See a location's details from an item. An i icon next to a location name on an item's page opens a panel with the location's address, opening hours and any custom fields your role can see
Location information in the profile menu shows the same panel for any location you choose.
Keep sensitive details out
Location fields are reference information, not a vault. Do not store passwords, door codes or anything that would let someone enter a building if they saw it. If you store anything restricted, use field visibility to limit it to the roles that need it.
FAQs
Can I add custom fields to sub-locations? No. Custom fields are available on top-level locations only.
Is this the same as the Location custom field type? No. This article is about adding fields to the Location record itself. The Location field type adds a location label to items, kits, bookings and work orders. See Location as a custom field.
Can I hide a field from some roles? Yes. Location fields follow the same field visibility rules as other custom fields. Open the field under Settings > Fields to choose who can see or edit it.
Can I import custom field values for my locations? Not yet. Location import is not available, so add the values on each location's page.
What field types can I use? The same types as other records, such as text, number, date, currency, phone, email, hyperlink, dropdown lists and user. See How To: Use and Manage Custom Fields for the full list.
Will I be forced to fill in a new required field on every old location? No. Required fields are enforced when you create a new location only.
