Feature Release: Booking Portal

Give your users a dedicated, branded space to browse equipment and submit reservations — without needing access to your Cheqroom workspace.

Booking Portal is a new, purpose-built interface for end users. It lives at a dedicated URL unique to your workspace, and gives anyone you invite a simple way to find available equipment and submit reservations — without exposing them to the full Cheqroom workspace.

For admins, every reservation submitted through the portal appears in Cheqroom exactly as it would if created directly in the workspace. No new workflows, no separate system to manage.

What's Included

Feature Details
Dedicated portal URL Each workspace gets a unique Booking Portal URL (portal.cheqroom.com/[workspace-id]) to share with end users.
Branded experience Customize the portal with your logo, subtitle, brand colour, button colour, landing page notice, and success message.
Equipment catalogue Users browse available items for their selected date range. Items restricted by Equipment Access or location are automatically hidden.
Reservation submission Users add items to their request and submit. Reservations appear instantly in the Cheqroom workspace for admin action.
Reservation history Users can view the status of all their reservations and access comments and attachments via the History and Attachments tabs.
New role: Booking Portal User A new system role that grants portal-only access with a fixed permission set — no workspace access required.
Custom role support When creating custom roles, admins can now select Full Access or Booking Portal Only access.
SSO compatible Booking Portal inherits your existing SSO configuration. No additional setup required.
Mobile responsive Fully accessible from any smartphone or tablet browser.
Field visibility respected Custom field visibility settings (configured in Settings > Fields) are enforced in the portal automatically.
Existing notifications apply No new notification setup needed. BP reservations trigger the same email notifications as workspace reservations.

Availability

Booking Portal is available on Enterprise and ELA admin-based subscriptions. To enable it, go to Settings > Booking Portal in your Cheqroom workspace and click Add Booking Portal.

Get Started

  • Enable Booking Portal in Settings > Booking Portal.
  • Configure your branding and portal settings.
  • Invite users and assign the Booking Portal User role (or a custom BP-only role) to anyone who should have portal-only access.
  • Share your portal URL — portal.cheqroom.com/[your-workspace-id] — with your users.
