How to Submit a Maintenance Request

Follow these steps to log a maintenance request during your Work Order trial.

Create a Request

  1. Open the Maintenance Management template
    1. From the left-hand navigation, select the Maintenance template and click Create in the top right corner.
  2. Fill in the basics
    1. Request name (required): Use a short, clear title.
    2. Good: "Sony A7S – sensor cleaning," "Projector bulb replacement – Room 204"
    3. Avoid: "Broken," "Needs fixing"
    4. Assignee: Choose who will handle it, or leave it Unassigned if you're not sure - an admin or Work Order Agent can assign it later.
    5. Location: Where the equipment is or where the work needs to happen.
    6. Custom fields: Fill in any fields your admin has set up. Required fields are marked with *.
  3. Add context
    1. Link items or kits: Connect the specific equipment this request is about. Linking doesn't affect availability - the item can stay bookable while the request is open.
    2. Description: Explain what's wrong or what's needed.
    3. Attachments: Add photos, repair quotes, or anything else that helps whoever picks this up.
  4. Save or submit
    1. Save as Draft to keep working on it later.
    2. Open to submit it - this notifies the assignee and makes it visible to your team.

After you submit

Your request appears in the Work Orders list, where you and others can add comments, attach files, or check on progress. Once the work is done, the operator will close it out.
