How to submit an Operation Request

Follow these steps to create a work order or other operations request in Cheqroom 

Create a Request

1. Create new request

  • Open Operation Request Type from left hand navigation and click "Create" in top right corner

2. Fill in the basics

  • Request name (required): Use a short, clear title so everyone knows what it’s about.

    • Good: “Sony A7S – sensor cleaning”, “Missing lens cap – Canon 5D”

    • Avoid: “Camera issue”, “Fix it”

  • Assignee Who will handle this Work Order? Choose Unassigned if the right person isn’t decided yet (e.g. for student or guest submissions). The assignee can be notified when the Work Order is submitted.

  • Location Where the work happens. Must be a location that exists in Cheqroom. Used for filtering and reports.

  • Custom fields Fill any fields that appear; required ones are marked with *. They depend on the Work Order type and your admin’s setup.

3. Add Context

  • Link objects Requests can have references to items, kits, reservations, check-out or other work orders in Cheqroom. Use the relevant table to link equipment or bookings. Note that items stay available; linking only connects the Work Order to them for history and reporting. When adding an object, you can search by name or use filters to find what you need.

  • Description Explain what’s needed, any special requirements, or background. This helps the assignee know what to do.

  • Attachments Upload photos, quotes, manuals, or other files (e.g. damage photos, repair quotes, calibration docs). You can also add more after saving. Use the action menu to generate PDFs specific to 

4. Save or submit
  • Save as Draft - Consider this a work in progress. You can edit and submit later when you’re ready.

  • Open  - The Work Order is created, relevant notifications are triggered, and your team can see and work on it.

After you create

  • The Work Order appears in the Work Orders list.

  • Admin or Work Order Agent will assignee the work order and trigger any related notifications

  • You and others can add comments, upload attachments, link more items, or reassign.

  • When the work is done, the assignee will close the request
