How to: Update Existing Items via Spreadsheet Import

Updating Existing Items via Spreadsheet Import

In addition to adding new items, you can also update existing items in bulk using the spreadsheet import feature. This is especially useful if you forgot to include certain information—like warranty dates—when first importing your inventory.

Export Your Current Equipment

  • Navigate to Items in the left-hand menu.
  • Click the Export button in the top-right corner.
  • This will download a CSV file containing your current inventory.

Update the Spreadsheet

  • Open the exported CSV file and make the necessary changes or additions.
  • Make sure not to edit the "ID" field. This is the Cheqroom designated ID and is what the system uses to map each record back to the correct item in Cheqroom

Import the Updated Spreadsheet

  • Go back to Items and click Import in the top-right corner.
  • Upload your updated spreadsheet.
  • Important: Be sure to map the Cheqroom ID field (a unique identifier like RjaFaEMBgWoGGZmqVrqvvP). This ID triggers an update rather than creating a new item.
  • Confirm everything is correct, and all errors are addressed on the spreadsheet preview page.
  • Click the Complete Import on the bottom right. You'll see a confirmation pop-up once the import is completed.

Cheqroom offers several methods for adding Items to your workspace. Whether adding just a few Items manually, duplicating existing entries, or importing large inventories with a spreadsheet, each method is designed to make the process efficient and minimize errors. By choosing the method that best fits your needs, you can ensure that your inventory management is effective and streamlined.
