Resolving Discrepancies in RFID-Powered Spotchecks
What to do when an RFID scan shows a discrepancy
When an RFID scan shows a discrepancy during a Spotcheck, follow these five steps to identify and resolve the issue.
- Re-scan the Area: The most common reason for a discrepancy is a missed item. Before taking any other action, perform a second, more thorough scan of the entire area. Move items around to ensure you can scan tags that were previously hidden.
- Check the "Missing" Item's History: If an item is still showing as missing from a Location-level Spotcheck, check its history in Cheqroom. Is it currently checked out on a booking? Was it recently moved to a different location? The item's activity log can often provide clues.
- Physical Search: If you still can't find the item, a physical search is the next step — check surrounding shelves, storage areas, and any nearby rooms where the item could have been misplaced.
- Flag the Item: If you still cannot locate the item after completing all of the steps above, flag it as missing directly from the item's detail page in Cheqroom. Select the item, open the status menu, and choose Flag as Missing. This updates the item's status and notifies your team of the discrepancy so they can follow up.
- Train Your Team: Prevent future discrepancies by training your team on proper RFID scanning technique, establishing a habit of confirming item locations in Cheqroom after every checkout or return, and running regular Spotchecks to catch issues early.
