Learn how to fix common spreadsheet import errors and get your Items into Cheqroom smoothly
Common Import Errors
Here are the most common issues that prevent a successful import, and how to fix them:
Missing Required Fields
- Name and Category must be mapped and cannot be blank. Make sure Names are unique, and to create all possible categories ahead of time.
- Ensure that these columns are present in your spreadsheet and mapped correctly during the field-matching step.
Tip: To indicate subcategories in the spreadsheet, follow this example “category/subcategory>sub-subcategory”, “lens/zoom>35-105mm”.
Invalid Field Formats
Each field expects a specific data type:
- Date fields must be valid dates (e.g., MM/DD/YYYY).
- Number fields must not include letters or symbols.
Examples:
- Typing "One Hundred" into a numeric "Purchase Price" field will cause an error.
- Entering a number into a field expecting an email address will also cause an error.
Barcode Issues
- Must be 4–24 characters, alphanumeric.
- No special characters or spaces.
- Must be unique (no duplicates across your inventory).
Kit Warnings
If a column is mapped to Kit Name, Cheqroom will check each value:
- If a matching Kit exists, the item will be added to that Kit.
- If not, a warning will indicate that a new Kit will be created.
These warnings do not block the import, but they help you avoid unintentional duplication of Kits.
Custom Fields or Categories Not Yet Created
- If you're using custom field values or categories that don’t already exist in Cheqroom, you must either:
- Create them in advance, or
- Create them during the field-matching step.
We advise you to create them in advance, as creating many categories/fields during and import might cause issues.
Cheqroom will alert you if a value doesn't match an existing option, especially for dropdowns or multi-select fields.
Further tips
- Use the preview table to identify and fix errors before continuing.
- Hover over any colored cells for an explanation of the issue.
- Make edits directly in the preview table or correct your original file and re-upload it.
You will only be able to proceed once all errors are resolved. Warnings are informational and will not block the import.
Still Having Trouble?
If you've resolved all visible issues and still can't complete the import:
- Make sure all required fields are mapped and filled in.
- Double-check field types to ensure all values match the expected format.
- Save your spreadsheet in .CSV or .XLSX format and ensure it's UTF-8 encoded if using special characters.
- Refresh the page and try re-importing.
