Custom item types allow you to better organize and categorize your equipment based on your specific needs. Custom item types can be used for rooms, studio spaces, IT devices, consumables and much more! This guide will walk you through the process of

Creating Custom Item Types
- Navigate to your Settings
- Select "Item Types" from the settings menu
- Click the "Create New Item Type”
- Set a name and description for your item type
- Cheqroom will suggest a plural form of the item type name, but this can be edited as need
- Select an icon
- Uncheck any system fields you wish to hide for that item type
- For example, if “Purchase Price” does not make sense for my Studio spaces, deselect this fields
- Fields can be further customized in Custom fields
- Set default availability for all items in that item type
- Item availability can be updated for individual items by editing that item itself
- Save your changes
💡 Note: Item type setting can be updated after creation by clicking the three dot menu, and then “Update”. Item type can be deleted only when they contain no items.
Now that you have created the item type, you can customize associated fields in them
Customizing Fields
Custom fields can be used on an item type basis to include information that is only applicable to some item types. For example, the floor of a building a room is on is relevant to my Room and Studio item type only.
- Navigate to fields
- Create a new field or edit an existing field
- Select one or more item types on which to show this field

Adding Items
Items can be added to your new custom item types both through our manual creation and via CSV import.
Add Individual Items
- On the Items tab, select “Add Item”
- Select which item type you’d like to add
- Complete relevant fields
- Save item
Import Items
- On Items tab select “Import”
- Prepare your import
- If using the manual importer, fill in column “Item Type” with the associated type.
- If using a CSV, add a column for “Item Type” and populate each row with associated type.
- NOTE: Use the singular form of your item type name. Example: Room
- Complete all other required fields
- Complete Import
Migrate Existing Items to a New Type
If you have previously created items that you wish to move to a new item types, you can do so through item migration tool.
- Select item or items you wish to change the type
- In the action menu, select “Change Item Type”
- Select which item type you’d like to migrate to
- Fill in any new fields for the new item type
- Fields left blank will be treated as empty in the new item type
- If you wish to keep existing values, check “Don’t override existing values”
- Take note of all fields that will be removed in the new item type
- Set new availability for the item if needed
- Complete migration

Using Custom Item Types
Now you are set up and ready to go! Custom Item Types can be used as any other items. Add new item types to reservations or checkout for a complete view of all assets related to a project. See upcoming reservations in the calendar, or use the gantt view to make booking directly from item detail.
Example use cases:
- Book both studio spaces and equipment for an upcoming photo shoot
- Track custody of IT devices to get a holistic view of all items an employee uses
- Add giveaways or swag items to have a complete picture of everything you are taking to trade shows and events
FAQ
- Can default availability be overridden for an individual item?
- Yes. If you change the availability on an individual item that will supersede the default configuration set at the item type level
- When I migrate an existing item, what happens to fields I’ve hidden for the new type?
- Fields that are hidden from the destination type will be removed and users will be prompted to add any new required fields.
- Does this impact flags, labels, or categories?
- No. Flags, categories and labels can be used with any item type.
- What about kits?
- Item types can be combined in a kit. There are no special restrictions.
- Can I use bulk items in a new item type?
- Yes! Bulk items (up to plan limit) can be used in any item type.
- What about consumables?
