Closed Days by Location

Close one site for a holiday or a shutdown while every other location keeps taking bookings.

Closed days used to apply to your whole workspace. If your offices observe different public holidays, or one site closes for maintenance, you can now add closed days to a single location. Every other location stays open.

Note: Available for all plans with multiple locations and Booking restrictions.

How it works

  • Workspace closed days still live in Settings > Opening hours & closed days. They apply to every location that has no closed days of its own.
  • A location with its own closed days uses those for bookings made at that location. When you enable location level closed days, that overrides the workspace closed days.
  • Closed days block reservations and check-outs for the dates you choose. Admins cannot override a closed day.
  • If you use Skip closed days in Booking restrictions, it skips location closed days the same way it skips workspace closed days.

Set up closed days for a location

  1. Click Settings in the bottom left corner of your screen.
  2. Click Locations.
  3. Hover over the location and click Edit.
  4. On the Location page, scroll to Closed days.
  5. Click  Enable Location closed days.
  6. Click "Enter a name, such as "Canada Day", and the From and To dates.
  7. Under Repeat, choose whether this closure repeats every year or happens once.
  8. Click Save.

The From date cannot be in the past. When you pick a From date, the To date fills in with the same day. Change it if the closure runs longer.

To edit or remove a closed day, open the same Location page, change the entry and save.

What your team sees

When someone books equipment at a location with closed days, the date picker blocks those dates for that location. Bookings at your other locations are not affected.

If one booking includes items from locations with different closed days, Cheqroom shows the usual "items are at different locations" warning. The booking uses the closed days of the location set on the booking.

Examples

A holiday at one office. Your Toronto office closes on July 1, but Chicago stays open. Add "Canada Day" as a yearly closed day on the Toronto location. Chicago users can still book that day.

Campuses with different breaks. A university's North Campus closes for a reading week that South Campus does not observe. Add the week as a one-time closed day on North Campus, and again next year if it moves.

An unexpected closure. Your only gear manager at the downtown room is out sick on Friday. Add a one-day closed day on that location so no one books a pickup nobody can staff.

A maintenance shutdown. The equipment room is being repainted from March 3 to March 7. Add the five days as a one-time closed day. Other rooms keep running.

FAQs

Do I have to set closed days on every location? No. A location without its own closed days follows your workspace closed days. Nothing changes for locations you leave alone.

I already have workspace closed days. Do I need to redo them? No. They keep working exactly as before at every location that has no closed days of its own.

What happens to bookings that already exist on a day I close? Nothing happens right away. Existing reservations and check-outs are not cancelled or changed. If someone edits one of those bookings later, Cheqroom will flag the conflict.

Can an admin book on a closed day anyway? No. Unlike booking restrictions, closed days cannot be overridden.

Can closed days repeat every week or every month? No. A closed day can repeat every year or happen once. For a weekly closure, set that day as closed in the location's opening hours.

Can I set closed days on a sub-location? Closed days belong to a top-level location, and its sub-locations follow it.

Which plans include it? The same plans that include Closed days.

Where do I find the workspace-level setting? In Settings > Opening hours & closed days. A note on that page points you to the per-location option.
